As a doula, your primary goal is to support growing families during one of the most transformative times of their lives. In recent years, more and more companies are offering family-building benefits to their employees through platforms like Carrot Fertility.

Carrot is a leading global fertility benefits provider that helps employees pay for reproductive care, adoption, surrogacy, and most importantly for us doula support. Because Carrot operates worldwide, Canadian families working for participating companies can get reimbursed for your services.

However, to make this process seamless for your clients, it helps to be recognized in their system. Here is a clear, step-by-step guide on how Canadian doulas can get on the Carrot radar and set their clients up for reimbursement success.

Understanding Carrot's Model: Network vs. Reimbursement

Before diving into the steps, it is important to know how Carrot works. Carrot is not a traditional insurance company that you bill directly. Instead:

  • Clients pay you directly for your services according to your standard contract.

  • You provide them with an invoice and receipt.

  • Clients submit these documents to Carrot to get reimbursed out of their employer-provided funds.

While Carrot does maintain a provider finder platform, being "on the list" often means meeting their strict verification standards so that your client's claim goes through without a hitch.

Step 1: Secure Your Professional Certifications: Becoming a Certified Carrot Doula

Carrot certified doulas requires all vetted doulas to hold active, formal credentials. They do not currently approve self-taught or completely uncertified doulas for reimbursement. Ensure you have:

  • A formal certification from a recognized training organization (such as DONA International, CAPPA, Birthing From Within, or local Canadian equivalents). Exciting update: We are currently in talks with having Bloom Certified doulas added directly to their system!

  • A document showing your credential number, the date it was issued, and its expiration date.

  • Matching Names: Make sure the name on your certification matches the legal or professional name you use for business.

💡 Not certified doula yet? If you are looking to launch your career with a curriculum built for modern doula business standards, check out our comprehensive Birth Doula Training and Postpartum Doula Training programs. Our certifications are designed to give you the exact professional credentials, hands-on skills, and business readiness platforms like Carrot look for.

Step 2: Get Your Business Documents in Order

Carrot holds providers to high professional standards. Before you apply, gather the following three pieces of documentation:

  • Professional Liability Insurance: You must carry a current commercial general liability and professional liability policy (typically with a minimum of $1 million in coverage). Your Certificate of Insurance (COI) must show your active dates.

  • CPR Certification: You must hold an active, verifiable CPR certification that covers adults, children, and infants (e.g., through the Canadian Red Cross, St. John Ambulance, or Heart & Stroke Foundation).

  • Standard Client Contract: Have a clean, professional copy of your standard birth or postpartum support contract ready to show how you outline your services. (We provide standard contract templates as part of our training programs to ensure you are business-ready on day one!)

Step 3: Initiate the Process (The "Client-Led" Shortcut)

Carrot’s provider onboarding can sometimes be exclusive or limited depending on regional demand. The fastest way to get verified as a Canadian provider is often client-driven:

  • If you have a client with Carrot benefits: Have the client log into their Carrot member portal and search for you. If you aren't there, they can submit a request to add you as their preferred provider. Carrot will then reach out to you directly with an application link.

  • If you don't have a Carrot client yet: You can proactively express your interest in joining their provider registry by emailing doula@get-carrot.com to request a provider application.

Step 4: Fill Out the Application & Agree to Terms

Once you receive the application link from Carrot, you will fill out your profile. You will need to:

  • List your specific Canadian geographic service areas (or note if you offer virtual postpartum support).

  • Confirm your current rates. Note: Carrot strictly prohibits providers from inflating their prices just because a client has Carrot benefits.

  • Review and sign their Terms and Conditions for Doulas, which cover client privacy (HIPAA/PIPEDA compliance principles) and professional conduct.

Step 5: Support Your Clients with "Carrot-Ready" Invoices

Once verified, or when working with a Carrot member, your job is to provide them with a flawless invoice so their claim gets approved quickly. A Carrot-compliant invoice should always be written in English (or have an English translation) and include:

  • Your business name, legal name, and contact details.

  • Your professional doula certification number and certifying body.

  • The client's full name.

  • A detailed breakdown of services (e.g., "3 prenatal visits, continuous labor support, 1 postpartum visit" or "20 hours of postpartum doula care").

  • The specific dates the services were rendered.

  • The total amount paid and the date payment was received.

Getting set up with Carrot is an excellent way to make your doula services more accessible to working families across Canada. By taking a few moments to organize your paperwork and credentials today, you open the door to a completely new pool of clients who have corporate funding dedicated strictly to hiring you!
